Re:      Update: Deadline Extension for IM+CANS Provider Portal Batch Upload
 
 
The purpose of this notice is to establish the Department’s requirements for the use of the IM+CANS Provider Portal.  All providers performing an Integrated Assessment and Treatment Planning (IATP) service that resulted in a completed IM+CANS for dates of service on or after July 1, 2020, are expected to enter the IM+CANS into the IM+CANS Provider Portal.
 
To allow providers additional time, HFS is allowing the entry of completed IM+CANS assessments for dates of service between July 1, 2020, and October 30, 2020, to be retrospectively entered until January 1, 2021. 
 
With dates of service beginning November 1, 2020, HFS expects completed IM+CANS to be entered into the IM+CANS Provider Portal within 10 business days of completion.  Failure to enter a completed IM+CANS in the HFS IM+CANS Provider Portal may result in clinical audit, recoupment of payment, and/or potential service rejections. Audits will begin after January 1, 2021.  
 
Information for Providers Utilizing Batch Upload Processing.
1.    Providers utilizing batch upload processing must meet the requirements and timelines detailed above.
 
2.    Providers utilizing the batch upload process must first establish an Account and Primary Administrative User in the IM+CANS Provider Portal production environment by submitting an IM+CANS Provider Portal Administrative User Request Form to the IM-Assist Help Desk at OMI.CANSAccount@uillinois.edu.
 
3.    Once the provider has established their production account, they must then access the IM+CANS Provider Test Environment by notifying the Help Desk.  Providers are required to successfully submit test data files in the test environment and receive HFS approval before being authorized to utilize the batch upload process in the production system.
 
4.    Providers who do not receive approval from HFS for batch uploading by November 1, 2020, should use the Direct Data Entry (DDE) process until they can transition to the batch upload process.
 
To eliminate the entry of IM+CANS data into multiple systems, providers may first enter  IM+CANS into the IM+CANS Provider Portal and export data to an Excel file that may be uploaded to the provider’s electronic health record or data system. The HelpDesk will provide technical assistance for providers related to utilizing the export option.
