Re:      New School-Based Health Services Administrative Claim Vendor
 
 
This notice informs Local Education Agencies of a change in the vendor contracted to administer the School-Based Health Services Program. Public Consulting Group (PCG) has been chosen as the new statewide vendor and will replace Fairbanks LLC.
 
This communication impacts your district’s participation in the School-Based Health Services Administrative Claiming Program (SBHS Program) and includes time-sensitive information. To ensure it reaches the appropriate personnel, please forward this notice to the individuals within your district responsible for the management of your SBHS Medicaid administrative claiming. 
 
The Department of Healthcare and Family Services (HFS) has contracted with Public Consulting Group (PCG) to serve as the new statewide vendor for the SBHS Program effective with the
October – December 2020 quarter. As a result, all LEAs participating in the program will utilize PCG web-based software, processes and support. In the coming days and weeks, PCG will be contacting your district regarding their implementation plans and training for such implementation. It is imperative that each LEA respond to the PCG emails and requests in a timely manner to assist in a smooth transition to this new vendor.
 
In order to ensure that program requirements are communicated effectively and that all LEAs are able to participate, PCG will offer web-based training session options. The training sessions will provide an overview of system changes and transition to the random moment time study process under the new vendor including upcoming timelines and due dates. A separate email with available training options will be sent to your district’s designated SBHS Program contact(s). Existing contacts are being loaded into PCG’s system. If your contacts have changed, it is important that you provide the appropriate contact names and email addresses to PCG.

The July – September 2020 quarter and any other prior period claims submitted before the October 15, 2020, claim file date will still be processed through the Fairbanks LLC system. Claims submitted after October 15, 2020, will be processed through the PCG system.
